Barcode vs. QR Code for Asset Tracking

Both work for asset tracking, but they serve different scanning contexts. A Code 128 barcode encodes a short numeric or alphanumeric asset ID and is read by the handheld scanners already deployed in most warehouses. A QR code encodes a longer value — such as a full URL to your asset management system — and is readable by any smartphone camera without additional hardware.

For field assets accessed by staff with smartphones, QR codes linking to an asset record page are more practical — staff can scan, view maintenance history, and log issues without a separate scanner app. For assets managed from a central WMS that already has barcode scanners, Code 128 is faster and more compatible.

Asset Label Placement and Durability

Place asset labels in a consistent, predictable location for each asset class: front lower-right corner for computers, top-right of equipment panels, driver-side door frame for vehicles. Consistency reduces scan time because the operator does not search for the label.

Asset labels endure a wide range of environments. For office equipment, a standard polyester label with permanent adhesive lasts the life of the asset. For outdoor assets, field equipment, and vehicles, use a UV-resistant polyester label with aggressive outdoor adhesive. For assets subject to chemical exposure (laboratory, industrial), consider a recessed label holder or a polycarbonate overlay.

What to Encode on an Asset Label

The minimum useful encoding is a unique asset ID that maps to a record in your asset register. For URL-based QR codes, encode a direct link:https://assets.yourcompany.com/asset/IT-2024-001

For plain barcode encoding, use a short alphanumeric ID — prefix-year-sequence is common:IT-2024-001Add the asset description and department in human-readable text on the label so the asset can be identified without a scanner.
